Task/Problem Overview
There are times when you may need to void and reissue an AP check from a closed period.
If you try to void a check in a closed period, you will get an error message.
This knowledge base article will discuss how to reopen the period, void and reissue the check (if needed), then reclose.
Reopen the Period
-
Access the Overview page of the Accounting Manager and choose Period Closing.
-
Find the closed period you need and click Reopen.

-
Click Yes to confirm the reopen.
-
This also re opens all subsequent periods.
Void Check
-
Access the Vendor Payment History screen in the Account Manager and find the check you need to void.
-
Right click on it and click Void Check.
-
If the check is paying more than one invoice, the entire check will void and all bills included will go back to AP.
-
Once voided, the lines will be crossed out.
-
You can click on the Bill to view the ledger transactions. You can see that the deleted payment Debited the bank.

-
Reissue Check
-
If you need to reissue the check, you can go to the Pay Bills tab in AP and follow the normal process to issue the check.
- You have the option to back date the check to the old period of need. Just change the Payment Date at the bottom of the screen.
-
When ready, click Pay Bills.
-
If the Setting called Queue to Send is set for Checks, the check will appear in the check queue (will not print right away).
- If this is not checked, the check will print right away.
Queued Documents
-
If Send to Queue is set for Checks, when you are ready to print the check/s, click Documents in the header, then choose Queued Documents.
-
Go to the Checks tab to view the queue.
-
From there you can follow your normal check printing process to include the repayment in the check run.
Close Period
- When ready, follow your normal Period Close process to reclose the period. If any other periods were reopened at the same time, they should be closed too.
